Volunteer Information
The Winchester Hurricanes Swim Team is a community-driven program that operates almost entirely on volunteer support. Only our coaches are paid. Every meet, every event, and every smooth race day experience is made possible by parents and family members who step up to serve.
Volunteering is not just a requirement—it is what allows our swimmers to compete in a well-organized, safe, and positive environment. Without volunteers, we cannot host or participate in meets. Your involvement directly supports:
- Accurate timing and scoring
- Fair and compliant competition
- Efficient meet operations
- A positive experience for all swimmers
When everyone contributes, the workload is manageable and the season runs smoothly for all families.
Volunteer Requirements
For each meet your swimmer attends, you must volunteer for at least one (1) session.
Each family is required to earn 25 volunteer points per season, broken down as follows:

3 points for one (1) session at each of the following meets:
- Time Trials
- 5 Dual Meets
- Divisionals
- Cat 5 Invitational
(24 points total)
- 1 required home meet tear-down (1 point)
Important:
Volunteering for two sessions at the same meet will still count as 3 points, unless you are specifically asked by the Volunteer Coordinator to work an additional shift or to make up missed points. Those additional approved shifts will receive credit.
Families are not penalized for meets their swimmer does not attend.
Session Selection
Some families prefer to volunteer during a session opposite their swimmer’s events (for example, parents of 6 & Under swimmers may choose to work the afternoon session).
You may select whichever session works best for your family; however:
- Morning positions are limited.
- If morning spots are full, you may be required to work a later shift.
We appreciate your flexibility to ensure all roles are covered.
Flexible & Season-Long Opportunities
We understand that every family’s situation is unique.
We offer season-long and alternative volunteer positions for families with:
- Infants
- Disabled or special needs swimmers
- Special family circumstances requiring flexibility
Communication is key. We are committed to working with you to find a role that allows everyone to fulfill their volunteer commitment in a way that works for their family.

Volunteer Deposit Policy
If volunteer requirements are not fulfilled, your volunteer deposit check will be cashed at the end of the season.
We understand that conflicts may arise. Again, communication is key. If issues come up, please reach out to the Volunteer Coordinator as soon as possible so we can work toward a solution.
Volunteer Sign-Ups
Volunteer time slots will open the week of the swim meet.
Please sign up promptly, as popular positions and morning sessions fill quickly.
